A FAQ Guide for Houston School Staff

School picture day comes with a lot of moving parts, and over the past several months of offering Houston school portrait photography, I’ve found that many school administrators and coordinators tend to have the same questions about pricing, scheduling, setup, timelines, and ordering. Because of that, I wanted to create a helpful resource that answers some of the most common questions I receive about modern Houston school portraits for private schools, preschools, and homeschool co-ops.
Whether you’re planning your school’s very first photo day or simply looking for a more streamlined and modern school photography experience, this guide will walk you through what to expect from the planning process all the way through final gallery and print delivery.

Not at this time, that would be quite the undertaking! I primarily work with Houston-area private schools, preschools, and homeschool co-ops rather than large public school districts. This allows me to provide a more personalized and flexible school photography experience tailored to each school’s needs.

School portraits are structured differently than traditional family or newborn sessions. Pricing is designed to feel familiar to what families expect from school photography.
Families can purchase packages that include both prints and digital images together. There are also options to purchase digital images a la carte and prints a la carte, giving families flexibility depending on what they want and need.

It can take anywhere from one day to multiple days to photograph a school. The schedule depends on the size of the school, the age of the students, and the school’s overall preferences.
Some schools prefer to complete everything in one full day, while others prefer multiple days to create a more relaxed pace. Multi-day schedules also allow additional flexibility for absences and makeup photos. Every school photography schedule is customized during the planning process.

Timing varies depending on the number of students being photographed and the age group of the children. Preschool-aged students may require a little more time per child to help them feel comfortable and capture natural expressions.
Some schools also prefer portraits to take place earlier in the day or before lunch so outfits stay clean and fresh. These preferences can impact whether photos are completed in one day or spread across multiple days.

For schools I have not worked with before, I prefer to schedule a campus visit ahead of photo day. This allows me to walk through the space, identify potential photo locations, and collaborate with the school coordinator on setup options.
While natural light is always preferred when possible, I also bring a full professional lighting setup. This allows me to stay flexible and self-sufficient regardless of the lighting conditions available at the school.

Prior to photo day, I will need a student roster that includes student names and parent email addresses. This information is used to organize galleries and deliver photos efficiently to families.
The goal is to make the ordering and gallery process feel smooth and organized for both parents and school staff.

School staff is not required to assist with tracking students throughout photo day. Each student is given a pre-printed name card to hold while being photographed, which helps keep the process organized and efficient.
Of course, having a staff coordinator available for general communication and scheduling questions is always helpful, especially for larger schools, but it’s definitely not a requirement!

White backgrounds are my go-to for modern school portraits unless otherwise requested by the school. This creates a clean, timeless look that keeps the focus on the student while also working well for yearbooks and print products.
However, background options can absolutely be discussed during the planning process depending on the school’s preferences and aesthetic.

Families typically receive their galleries approximately two weeks after photo day. Each family receives access to a private, password-protected online gallery.
Families with multiple children will receive a family-level gallery with individual sub-albums for each child. The ordering process is designed to feel intuitive and similar to traditional school photo ordering systems while still maintaining privacy and ease of use.
Once galleries are delivered, families can choose between print packages, digital images, or a combination of both.

Families can choose to have prints shipped directly to their home for an additional shipping fee. Otherwise, I deliver directly to campus for distribution. This allows schools and families to choose the option that works best for them.

Makeup photos are typically built into multi-day school portrait schedules. For single-day events, additional makeup days are not automatically scheduled unless specifically requested by the school during planning.
However, I also offer portrait sessions for homeschool groups, which can provide a very similar option for students who may have missed photo day.

Yes! Staff portraits are included alongside student photographs. There is no session fee required to book school portrait day itself.
However, if the school would like copies of student portraits provided for yearbook use, an additional fee may apply depending on the size of the school and the scope of the project.

One of the most common questions schools ask is how long the full process takes from photo day to final print delivery.
Photo Day → Gallery Delivery: approximately 2 weeks
Gallery Open for Orders: approximately 2 weeks
Print Delivery After Orders Close: approximately 2 weeks
The total timeline from photo day to receiving prints is typically around 6–7 weeks depending on the school’s ordering schedule and delivery preferences.
